How it Works
Every document. Every project. One place.
1 Where your data lives
A private AI server in your office. Used through any browser.
Your team uses a normal web browser, laptop, desktop, phone or tablet, it doesn't matter. The AI itself, Runs on hardware sat in your own building. Nothing leaves the premises. Ever.
No cloud account. No subscription. No new software for staff to learn. Just a server in the corner of your office, accessed exactly the way you'd access any website, except the website is yours, the data is yours, and the answers come from files only your team can see.
2 Three Components
The Brain — the AI model
A piece of software trained on vast amounts of human writing. Think of it as an extraordinarily well-read member of staff who can answer questions and draft text. Running entirely on hardware in your office, sending nothing anywhere.
The Memory — your company documents
Your contracts, drawings, RAMS, RFIs, site diaries, certificates and correspondence are loaded into a private knowledge base. The system reads and indexes everything. When someone asks a question, it finds the relevant sections and constructs the answer from your verified documents. Not from anything pulled off the internet.
The Connection — your office network
Staff access the system through a standard web browser, exactly like any website. The browser needs an internet connection to reach the server, but the AI itself runs on hardware inside your building. Every document, every question, every answer stays on your premises. Always.
3 Document safety & Security
We're an ICO-registered data processor.
Onsite Intelligence Ltd is registered with the Information Commissioner's Office as a data processor under UK GDPR. That registration is publicly.
A mutual NDA is signed before any documents change hands.
Not after. Not "we'll get to it." Before. Whether you're sending us a sample for evaluation, loading a trial system, or commissioning a permanent install. The NDA is signed first, on paper, by both parties.
A UK GDPR Data Processing Agreement is signed alongside it.
Our standard DPA spells out exactly what we will and won't do with your information, what we're permitted to access, what happens if anything goes wrong, and how data is destroyed at the end of any engagement. You're welcome to redline it or substitute your own.
Your documents are never used to train any AI model.
Not ours. Not OpenAI's. Not Google's. Not anybody's. The model your system runs is downloaded, frozen, and locked to your hardware. Your documents are read by it, never absorbed into it.
4 First call to Live System
A real engagement, not a punt
A thirty-minute discovery call kicks things off. No obligation, no sales script, just a conversation about where AI might help your business and where it probably won't.
Once you give the go-ahead, we sign a mutual NDA and UK GDPR Data Processing Agreement before any documents change hands, then move to secure document collection. Two to five working days later your system is built, loaded, tested and benchmarked at our Macclesfield workshop.
Delivery and installation at your office takes a few hours, followed by a one-hour team walk-through.
If you'd rather see the system working on your own documents first, we offer a free two-week trial. Same process, with an honest review and a clean exit at the end if it's not for you.
5 What You Dont Need
No IT team
The system runs itself. Updates, backups, monitoring. All handled remotely by us, or via a simple web dashboard. No in-house engineer required.
No new software for staff
Your team uses the web browser they already use every day. No installs. No accounts to create. No training week.
No subscriptions
Buy the system once, own it forever. No per-user fees. No monthly charges. No surprise renewals.
No cloud account
No AWS. No Azure. No Google. Nothing to set up, nothing to manage, nothing to be billed for, nothing to be locked into.
No data migration project
Your documents stay where they are. We load them onto the system at install. New documents are added by dropping them into a shared folder.
No internet dependency for the AI
The browser needs internet to talk to the server. The AI itself does not. If your line goes down, the system carries on working over your office network.
