Is my data ever sent to OpenAI, Google, or anywhere else?

No. The AI model is downloaded once, frozen, and runs entirely on your hardware. Your documents are never transmitted to any third party, never used to train any AI model, and never appear in any external system.
Will the AI hallucinate or make things up?

The system only answers from the documents you've loaded. If the answer isn't in your files, it tells you so plainly — it cannot guess, cannot pull anything from the web, and cannot invent information. That single design choice is what makes it safe for real business decisions.
Can we see where each answer came from?

Yes. Every answer is shown alongside the source — file name, page number, and the specific section the answer was drawn from. So you can verify it in seconds.
Where exactly does our data live?

On hardware sat in your office. Your documents are stored locally on your server, every question is processed locally, and every answer is generated locally. The system has no requirement to connect to the internet for the AI to function — only the staff browser needs an internet connection to reach the server, and even that's optional if everyone's in the office on the same network.
What kinds of documents can it handle?

PDFs, Word documents, Excel spreadsheets, scanned images, contracts, drawings, email correspondence — anything in standard business formats. The system reads, indexes and searches all of it.
Do we need an IT team to run this?

No. The system is built, configured and tested before it arrives at your office. Updates, monitoring and backups are handled remotely by us, or via a simple web dashboard. No in-house engineer required.
What's included in ongoing support?

Telephone and email support is included for the standard support period set out in your engagement letter. Beyond that, ongoing support contracts are available — but the system is yours either way; nothing stops working if you don't renew.
What happens if we want to upgrade the AI model later?

The hardware is yours, so as better AI models release we can swap them in for you. You're not locked into the model your system shipped with.
What happens to our documents if we don't go ahead afer a trial?

Every copy held by us is securely deleted at the end of the engagement, with written confirmation provided on request. The deletion procedure is set out in our standard DPA.
Can we trial the system without using our real documents?

Yes. If you'd rather not share real client or commercial documents during the trial, we can run the trial against a representative test set instead. We'll work with you to agree what that looks like — sample contracts, anonymised correspondence, redacted drawings, or publicly available documents from your sector. It still gives your team a realistic feel for the system without exposing anything sensitive.

How is the cost worked out

Cost depends on team size, document volume, and the performance tier you need. Every quote is fixed-price — we don't bill by the hour and we don't add charges later. You'll get a written proposal with the exact number after the discovery call.
